Welcome to United Coachways. These Terms & Conditions (โTermsโ) govern your access to and use of UnitedCoachways.com, our quote forms, booking pages, customer contract pages, payment pages, vendor portal, CRM-related portals, email communications, text messages, phone communications, and any related services operated by United Coachways LLC (โUnited Coachways,โ โwe,โ โus,โ or โourโ).
By using our website, requesting a quote, submitting trip information, creating an account, accessing the vendor portal, purchasing vendor access, signing a transportation agreement, making a payment, or otherwise using our services, you agree to these Terms.
1. United Coachways Business Model
United Coachways is a transportation reservation, coordination, brokerage, lead-generation, and customer-support company. We help customers request, price, coordinate, and book transportation services, including but not limited to school bus rentals, motor coaches, mini buses, party buses, vans, limousines, shuttles, sedans, SUVs, trolleys, executive coaches, and other group transportation services.
Transportation services may be performed by licensed motor carriers, transportation providers, affiliates, independent vendors, subcontractors, or service providers selected or coordinated by United Coachways. United Coachways may act as the customer-facing reservation coordinator, trip administrator, payment administrator, itinerary coordinator, support contact, and/or lead source.
Unless expressly stated in a signed written agreement, United Coachways does not guarantee a specific carrier, driver, vehicle make, model, year, color, interior layout, exterior branding, amenities, or exact provider.
2. Website Use
You may use our website only for lawful purposes and only in accordance with these Terms. You may not:
- submit false, misleading, fraudulent, or incomplete information;
- interfere with website security or operation;
- scrape, copy, harvest, index, or bulk-download website content, leads, vendor data, customer data, pricing, or quote information;
- use bots, automated tools, scripts, crawlers, or unauthorized integrations;
- impersonate another person, company, vendor, customer, or representative;
- use our website or portal to compete with, bypass, harm, or disintermediate United Coachways;
- attempt to reverse-engineer, copy, or reproduce our CRM, vendor portal, quote workflow, contract workflow, pricing workflow, payment workflow, or lead-distribution process.
We may suspend, restrict, or terminate access to the website, CRM, or vendor portal at any time if we believe activity violates these Terms, creates legal risk, affects security, harms customers or vendors, or interferes with our business.
3. Quote Requests and Lead Distribution
When you submit a quote request or transportation inquiry, you authorize United Coachways to collect, process, use, store, share, disclose, transfer, and sell the information you provide for transportation quote, lead distribution, booking, customer service, pricing, vendor matching, provider coordination, advertising, analytics, fraud prevention, and business purposes.
Your quote request may include personal information and trip information, including your name, phone number, email address, event date, pickup location, destination, stops, itinerary details, passenger count, vehicle type, occasion, trip type, budget, notes, payment status, and related information.
You understand and agree that United Coachways may share, disclose, license, transfer, or sell quote requests and lead information to transportation vendors, paid vendor subscribers, transportation providers, affiliates, subcontractors, call centers, technology providers, CRM providers, payment processors, marketing vendors, and other business partners as described in our Privacy Policy.
Submitting a quote request does not guarantee availability, pricing, a reservation, or service.
4. Vendor Portal and Paid Vendor Access
United Coachways may offer vendors access to a vendor portal, preview trial, paid membership, subscription, or lead-access system. Vendor access may include limited or full access to customer transportation requests, lead summaries, trip details, customer contact information, pickup and destination information, map links, event details, passenger counts, requested vehicle types, and other lead data.
Vendor access is a limited, revocable, non-exclusive right to review and respond to transportation opportunities. Vendors do not own the lead data. Vendors may not scrape, export, resell, redistribute, publish, trade, disclose, or transfer lead data except as necessary to respond to the specific transportation opportunity through United Coachways-approved processes.
Vendors agree that customer lead data may be used only for legitimate transportation quoting, availability review, service coordination, and booking-related purposes. Vendors may not use customer lead information for unrelated marketing, spam, harassment, resale, mass solicitation, data brokerage, competitive intelligence, or any purpose unrelated to the specific transportation request.
United Coachways may restrict, suspend, or terminate vendor access for misuse of leads, nonpayment, chargebacks, attempted circumvention, customer complaints, inaccurate vendor information, security concerns, or any conduct that United Coachways determines may harm customers, vendors, transportation providers, or United Coachways.
4a. Vendor Subscription Fees, Renewals, Access, and Payment Disputes
Vendor Access Monthly is a paid digital subscription service that provides access to the United Coachways Vendor Lead Portal. The subscription fee is the amount displayed at checkout and on the membership account page, currently $169.00 per month for Vendor Access Monthly, unless a different price is displayed and accepted at checkout.
By purchasing, upgrading to, renewing, or maintaining paid vendor access, the vendor authorizes United Coachways and its payment processor to charge the selected payment method on a recurring monthly basis until the subscription is canceled.
Vendor access fees are charged for access to the Vendor Lead Portal and related lead information. Subscription fees are not contingent on whether a vendor receives a particular number of leads, wins a job, receives a customer response, accepts a trip, books a customer, or earns revenue from any lead.
Lead availability varies by market, route demand, vehicle type, seasonality, customer request volume, vendor service area, customer behavior, and operational factors. United Coachways does not guarantee any minimum number of leads, awarded jobs, bookings, customer responses, customer conversions, revenue, profit, or business results.
Subscription fees are non-refundable once access has been activated for the billing period. Canceling a subscription stops future renewals but does not automatically refund the current billing period. If a vendor no longer wants paid access, the vendor is responsible for canceling before the next renewal date.
Paid vendor access may unlock customer names, phone numbers, email addresses, exact pickup and destination addresses, map links, stops, itinerary notes, and other customer-request details. The vendor acknowledges that access to this information has value immediately upon activation, whether or not the vendor later contacts the customer, quotes the trip, wins the job, or earns revenue.
The vendor agrees not to initiate a payment dispute, chargeback, retrieval request, or payment reversal for authorized subscription charges that match the subscription plan, billing amount, billing period, and access provided. If the vendor believes a billing error occurred, the vendor agrees to contact United Coachways first and allow a reasonable opportunity to review and resolve the issue.
United Coachways may submit account records, membership records, checkout records, Terms acceptance records, IP address, timestamp, user agent, email records, login records, access logs, Stripe records, payment records, subscription records, cancellation records, lead-access records, and related portal activity as evidence in response to any chargeback, payment dispute, retrieval request, inquiry, collection matter, or legal proceeding.
5. No Circumvention / Non-Disintermediation
Customers, vendors, providers, affiliates, subcontractors, and portal users agree not to bypass, circumvent, avoid, interfere with, or disintermediate United Coachways after receiving information, pricing, leads, customers, vendors, trip details, provider details, quote information, or booking opportunities through United Coachways.
Vendors and providers may not use United Coachways customer information to solicit, book, invoice, contract with, or service the customer outside the United Coachways workflow unless United Coachways gives written approval.
Customers may not use United Coachways quote, provider, itinerary, pricing, or coordination information to bypass United Coachways and book directly with a provider introduced, identified, contacted, or coordinated through United Coachways.
6. Quotes, Pricing, and Availability
Quotes are estimates unless confirmed in a signed agreement or written confirmation from United Coachways. Pricing may change based on availability, mileage, vehicle type, passenger count, event date, service hours, routing, stops, location, market demand, provider availability, fuel, tolls, parking, permits, gratuity, taxes, fees, overtime, cleaning, damage, route changes, or other operational factors.
United Coachways may charge customers an amount different from the amount charged by the underlying transportation provider. Vendor costs, provider costs, commission, markup, margin, or internal pricing information are confidential business information and are not required to be disclosed to customers or vendors unless required by law.
7. Reservations and Transportation Agreements
A reservation is not confirmed until United Coachways confirms acceptance, required payment is received, required authorization is completed, and any required customer agreement is signed or otherwise accepted.
Customer transportation services may be governed by a separate Transportation Service Agreement, payment authorization, electronic signature consent, itinerary confirmation, or related contract. If there is a conflict between these general Terms and a signed customer agreement, the signed customer agreement controls for that reservation.
8. Payments, Deposits, and Authorization
By making a payment, selecting a payment option, authorizing payment, or signing a transportation agreement, you authorize United Coachways and its payment processors to process payments for amounts due, including deposits, remaining balances, installment payments, full payments, approved route changes, timing changes, additional stops, overtime, waiting time, damage fees, cleaning fees, cancellation charges, no-show charges, passenger-caused fees, and any other amount authorized by the applicable agreement.
Payment records may include transaction ID, authorization ID, payment profile or token reference, invoice number, card brand, last four digits, billing ZIP, amount, timestamp, payment status, authorization status, IP address, user agent, audit logs, and related records. United Coachways does not intend to store full card numbers or card security codes.
Deposits and payments may be non-refundable as stated in the applicable customer agreement, quote, invoice, payment page, or written terms.
9. Cancellations, No-Shows, and Refusal of Service
Cancellation terms may vary by reservation and agreement. Unless otherwise stated in writing, deposits are non-refundable once a reservation is accepted. If a customer cancels within 30 days of service, fails to appear, refuses service, shortens the reservation, reduces vehicles or passengers, fails to provide required trip information, or does not use the confirmed service, the customer may be responsible for the full trip cost.
A driver, provider, or United Coachways may refuse, suspend, or terminate service without refund if passenger conduct creates a safety risk, violates law, violates provider rules, involves illegal drugs, weapons, fighting, harassment, vandalism, smoking, vaping, underage alcohol possession or consumption, or unsafe conduct.
10. Vehicle Substitution and Provider Assignment
United Coachways may assign or reassign transportation providers and vehicles for availability, safety, compliance, maintenance, scheduling, driver availability, operational, weather, traffic, or other reasons.
A reasonable substitute vehicle or provider may be used if the requested vehicle or provider becomes unavailable. Photos, website images, fleet descriptions, and examples are illustrative and do not guarantee exact equipment unless expressly stated in a signed written agreement.
11. Changes, Overtime, Waiting Time, and Added Stops
Any change to itinerary, routing, timing, pickup address, destination, passenger count, vehicle quantity, service hours, shuttle loops, or stops must be approved in writing by United Coachways. Additional charges may apply.
Drivers, onsite representatives, vendors, affiliates, and transportation providers do not have authority to waive payment obligations, overtime, waiting time, cleaning fees, damage fees, added-stop charges, route-change charges, balance payments, cancellation charges, or other amounts due unless United Coachways confirms the waiver in writing.
12. Passenger Conduct and Responsibility
The customer is responsible for all passengers and guests. Customers must ensure passengers comply with applicable laws, vehicle rules, driver instructions, provider rules, venue rules, and safety requirements.
Customers may be responsible for passenger-caused damage, cleaning, excessive mess, spills, burns, bodily fluids, broken glass, smoking, vaping, missing equipment, vandalism, lost property, or any other passenger-caused fees.
13. Chargebacks and Payment Disputes
You agree not to dispute charges that are authorized by a signed agreement, payment authorization, invoice, payment page, checkout page, subscription checkout, vendor portal checkout, written communication, electronic acceptance, or these Terms.
For customer transportation reservations, authorized charges may include deposits, remaining balances, installment payments, full payments, cancellation charges, no-show charges, overtime, waiting time, route changes, additional stops, cleaning fees, damage fees, passenger-caused fees, and other amounts authorized by the applicable agreement or payment page.
For vendor subscriptions, authorized charges may include recurring monthly Vendor Access Monthly fees, renewal charges, reactivation charges, or other paid vendor-access fees accepted at checkout or shown in the vendor membership account. Vendor subscription fees are charged for digital portal access and are not dependent on whether a vendor receives a specific number of leads, wins a booking, receives a customer response, or earns revenue.
United Coachways may submit signed agreements, payment authorization records, checkout records, Terms acceptance records, membership records, account records, subscription records, cancellation records, itinerary confirmations, emails, text messages, call records, transaction records, IP address, user agent, timestamps, payment logs, Stripe records, Authorize.net records, provider records, service records, vendor portal access logs, lead-access records, signature audit trails, and related documentation as evidence in response to payment disputes, chargebacks, retrieval requests, inquiries, claims, collections, or legal proceedings.
If you believe a charge was made in error, you agree to contact United Coachways before initiating a payment dispute so we can review the transaction, account status, subscription status, service record, or billing history.
14. Communications Consent
By submitting a quote request, creating an account, using the vendor portal, making a payment, signing an agreement, or contacting United Coachways, you consent to receive communications from United Coachways by phone, email, text message, SMS, voicemail, mail, website message, customer portal, vendor portal, CRM, or other communication method.
These communications may include quote responses, booking updates, vendor/provider coordination, payment links, agreement links, service updates, reminders, support messages, marketing communications, and follow-up messages. Message and data rates may apply. You may opt out of marketing communications where required by law, but transactional, service, security, payment, and reservation-related communications may still be sent.
15. Electronic Signatures and Records
You agree that electronic signatures, checkboxes, typed names, acceptance buttons, payment selections, scroll-to-accept workflows, timestamps, IP addresses, user agents, email records, SMS records, and audit logs may be used as evidence of consent, authorization, agreement, and acceptance.
You consent to conduct transactions electronically and agree that electronic records and signatures have the same force and effect as handwritten signatures and paper records.
16. Accounts, Login Credentials, and Security
You are responsible for maintaining the confidentiality of your login credentials and account access. You are responsible for activity under your account. You must notify United Coachways immediately if you believe your account has been compromised.
Vendors may not share portal credentials, sell access, create unauthorized accounts, or allow third parties to use vendor portal access.
17. Intellectual Property
All website content, design, software, CRM workflows, vendor portal workflows, pricing workflows, contract language, quote forms, graphics, logos, text, page layouts, lead presentation, data organization, and business processes are owned by or licensed to United Coachways and are protected by intellectual property and unfair competition laws.
No content may be copied, scraped, reproduced, distributed, modified, republished, sold, or exploited without written permission from United Coachways.
18. Third-Party Services
Our website and services may use third-party tools, including payment processors, hosting providers, CRM systems, analytics tools, email providers, SMS providers, mapping services, membership platforms, vendors, transportation providers, and other service providers.
United Coachways is not responsible for third-party websites, platforms, terms, privacy practices, outages, errors, or independent conduct.
19. Disclaimer of Warranties
The website, vendor portal, CRM, quote tools, payment pages, and related services are provided โas isโ and โas available.โ United Coachways does not guarantee uninterrupted access, error-free operation, exact availability, exact pricing, exact vehicle type, exact provider, or successful booking unless confirmed in a signed written agreement.
20. Limitation of Liability
To the maximum extent permitted by law, United Coachways is not liable for indirect, incidental, special, consequential, punitive, lost-profit, lost-opportunity, reputational, or business interruption damages.
To the maximum extent permitted by law, United Coachwaysโ total liability for claims related to a reservation is limited to the amount paid by the customer to United Coachways for the reservation at issue, unless a different limitation is required by applicable law or stated in a signed written agreement.
21. Indemnification
You agree to defend, indemnify, and hold harmless United Coachways, its owners, officers, employees, agents, affiliates, representatives, vendors, transportation providers, subcontractors, technology providers, and payment processors from claims, damages, losses, costs, fees, chargebacks, disputes, liabilities, and expenses arising from your use of the website, your submitted information, passenger conduct, vendor conduct, portal misuse, account misuse, payment disputes, itinerary changes, property damage, unlawful conduct, or violation of these Terms.
22. Governing Law
These Terms are governed by the laws of the State of Delaware, without regard to conflict-of-law principles, unless another law is required to apply.
Any dispute arising from these Terms, website use, vendor access, quote requests, payments, or services shall be handled individually and not as a class action, collective action, or representative action, to the maximum extent permitted by law.
23. Changes to These Terms
United Coachways may update these Terms at any time. The updated version will be posted on this page with the updated effective date. Continued use of the website, portal, or services after changes are posted means you accept the updated Terms.
